When the doors close at 5 PM on a small business, most owners are not heading home. They are staring at spreadsheets, chasing invoices, and trying to figure out what to post tomorrow.
That is the resource gap. Big companies hire experts for everything. Small businesses have themselves.
AI is closing that gap — not by replacing the person, but by handling the work that does not require one. In this episode, Dr. Mike Donaldson breaks down five areas where AI actually moves the needle for small business owners. Not from a tech angle. From a "how does this make your Tuesday better" angle.
In this episode:
- Why the resource gap between big and small business is finally closing
- How AI handles the 80% so you can focus on the 20% that needs you
- The financial tool that catches problems before you do
- Why AI is the brainstorming partner available at 11 PM
- The difference between saving time and getting time back

Hello and welcome to the podcast. I'm your host dr. Mike Donaldson today on the podcast We're going to talk about a radical transformation that's occurring on the Main Street entrepreneurs We're talking about the bakers the boutiques owners plumbers everything small business Is the backbone of our comedy, but often they're overworked. It's a massive shift moving from surviving to thriving Imagine a world where one person owns a shop and they have a global and local power.
They've got 24 -7 customer service, marketing content generated in seconds. There's an efficiency engine at play and AI isn't just about saving time, it's about giving back your life. So that's what we're going to get into today. But before that, go ahead and hit the like button and share your comments or questions and I'd be happy to get back to you on them.
All right, let's get into it. So right now, when you think about a business, what happens after the door is closed and the sign goes on at 5 p . m.? What's happening?
Usually, it's not a business owner heading home to relax. Instead, they're staring at spreadsheets. They're looking at payroll. They're struggling with social media to find that next post.
Where are they going to post? There's a resource gap. Big companies hire experts. Small businesses.
You only have yourselves. I'm the same way. Everything I do, it's just me. I'm a one -man show.
So the great closer, there's an AI that's the magic wand of productivity. That closes the gap. In AI, you can have a digital concierge, 24 -7, instant chant and support. Marketing agency, traditional cost, two to 10 ,000 a month on retainer, where you can have content assistance with AI, instant drafts, social clips, brand summaries, the whole shebang.
In finance, You've got high salary or expensive CPAs in the traditional world, but a financial AI can protect your cash flow and expense triage. Executive assistance, full -time salary and benefits in the corporate world. Now you can have a scheduling AI agent that's context aware, booking and taking care of your inbox triage. R &D, the creative side.
Okay, you can hire massive teams in the corporate world to do research. But for AI, the equalizer is, it's your brainstorming buddy. You've got instant pros and cons and infinite ideas to work with. So, in the end, it's a customer service struggle.
The cost of silence is that everyone missed a call or an email is a missed opportunity. We can't monitor everything 24 hours a day. The deal of concierge, not the old press one menu, so we're not talking about that. These are intelligent and empathetic.
The 80 -20 rule of AI handles the volume. 80 % of the routine questions, hours, inventory. Another 20 % you handle the value. You are refreshed and available for complex emotional or unique problems that we as human beings are good at.
AI can handle the routine. We take care of the unique. The results is that we're arriving at a work with high priority instead of a littered inbox in your emails. So benefit two.
Marketing with creative agency power. We talked about that earlier. So goodbye to the blank page syndrome. You're not staring at a page trying to think of what you're going to say next.
AI can turn hours of writing into seconds of drafting. Again, that 90 % rule. AI does the heavy lifting. You add the secret tips and the local flair.
Have them draft everything out, and then you go and tweak it to give it your voice. So we can also do content repurposing. You can have one video. to talk about a product and you could from that generate 10 TikTok clips, Facebook captions, email summaries on all kinds of things.
There's AI that can instantly pull that content and strip it out for you to find the best clips that might get some traction in the media. So the outcome is you've got a polished and professional brand at a fraction of the cost. All right, now let's talk about the financial crystal ball that we can do. So money is the number one stressor.
that we as small business owners face. Do we have enough cash flow for next month? Did I forget to invoice a client? Why is my inventory so high?
What is the next step I need to do? With the CFO in your pocket, AI scans your receipts and can categorize your expenses so that takes care of it. When you implement AI, you can have all of these bills coming in and you don't know what you're paying for. You can have subscriptions you're no longer using.
AI can find that. There's a predictive efficiency as well. There's a heads up. For example, you see a sales dip in October.
Okay, so the AI knows this, and it may remind you, okay, maybe you don't want to buy that equipment that you're planning on purchasing late until November or December. It can predict that ahead for you, that these you may forget. This kind of efficiency, it's a game changer for all of us. It prevents the mistakes before they happen.
It catches duplicate subscriptions you aren't using. AI can automatically chase late payments. It finds unused subscriptions and you will save money. So benefit.
Another one that comes in is reclaim your calendar. This is the admin assistant I mentioned earlier. So this is the invisible work that trains all of our energy. So no more email ping pong back and forth.
AI knows you don't take meetings on Friday afternoons, so it won't schedule them. So it also will look at your email. It summarized long threads and drafts, and it can reply based on your best past behavior. Or you can let them know what AI know what it is, and they could summarize those threads and draft replies for you.
You may not want them to send it. I wouldn't recommend that. You're going to definitely want to have that human piece in there to review them, but they can take care of the heavy lifting for you. So for the customer experience mentioned earlier, efficiency is not just about saving time, it's about hyper personalization, using that high tech hospitality.
So maybe the AI notices that, for example, that Mrs. Smith buys a lavator candle every three months so that automation can send a note to her saying, we noticed your favorite candle might be running low. We have one set aside. Would you like to order it?
It's not robotic. It's not cold. It's high -tech hospitality. There can be some warmth there and empathy to let people know that we're thinking about them.
It makes the customer feel seen and valued, and that's critical. It makes the business more efficient because you aren't guessing what people want. Your AI is looking and reviewing and seeing what it is their trends are. So we're moving away from guessing and we're focusing on what their actual needs are, what your customer voice is.
Now the brainstorm buddy, I use this a lot. As entrepreneurs we work by ourselves so there can be a loneliness there. You don't necessarily have your ideas to bounce off of anyone else, but with AI you can. You can have a conversation, talk about your business plan, you can talk about how you want to structure your new rollout of some new products you want to support that you want to provide to your customers.
It's a sparring partner. So you can use AI to find the five pros and five cons of any new idea you have at 11 o 'clock at night. You don't have to wait for somebody that's awake when you are. You can do it whenever you are ready to discuss it.
You can iterate faster, and it doesn't replace your vision. It's the catalyst. You got to remember that. You start the vision.
You start the conversation. You guide the conversation. It simply helps you go think about different things and see a different picture. Now in the end, there's the human reward.
As we wrap it up, what I want to focus on is the why. The why behind the tech. We use AI to do better work, not just more work. We don't want to remove tasks from our shoulders, just to pile more on.
We want to replace that you've got to have that balance in life You can have time for your family that your time to dream or focus on that next thing that you're gonna work on building a community of relationships for your business So the future for all small business is bright size no longer determines quality with AI as a partner You have the reach of a giant, but you still have the heart of a local neighbor So what I want to say is don't be intimidated be curious Save an hour with one tool.
Go check it out. Go see what you can do. Look at those tasks that are the most mundane and focus on those first. There is empowerment.
There is a superpower that we already have in our hands. It's available to all of us. We need to go and use it and see what we can create and help save some time and get some time back in our lives as small business owners. All right.
That's all I've got for you today. Thank you for listening. Please. If you enjoyed the podcast, please take a moment to review on Apple or Spotify or wherever you listen to your podcast.
It helps me out and it helps other people find me like you did. All right. I'm Dr. Mike.
